This Privacy Policy describes how Appraisal Orbit handles information collected through appraisalorbit.com and the Appraisal Orbit application. Appraisal Orbit is operated by Stan Shelton WTA.

Categories of data collected
Depending on how you use the site or application, we may process:
- Account and identity data (name, email, authentication identifiers)
- Office and staff data (office membership, roles, invites)
- Property and appraisal assignment data
- Documents, photographs, and workfile materials you upload
- Payment and subscription information (processed by payment providers where enabled)
- Device, log, IP (often hashed), and usage information
- Legal-acceptance and optional SMS-consent records
Account and identity data
When you sign in through our authentication provider (Clerk), we associate your account email and display name with an Appraisal Orbit user record needed to operate the application.
Office and staff data
Office owners may invite staff. We store membership, role, and related administrative settings needed to provide office workflows.
Property and appraisal data
The application may store property addresses, assignment details, comparables, narratives, calculations, and related appraisal workfile content that users enter or import. This information is treated as confidential appraisal workfile data.
Documents and photographs
Uploaded documents and photographs are stored to support workfile and report workflows. Access is limited through authenticated application routes rather than public file URLs.
Payment and subscription information
Subscription and payment processing, when enabled, is handled with payment providers. Appraisal Orbit stores subscription status and related billing metadata needed to administer access; card data is handled by the payment provider according to its terms.
Device, log, IP, and usage information
We may collect technical data such as browser/user-agent strings, approximate request metadata, and hashed IP addresses for security, abuse prevention, auditing of legal acceptance, and service reliability. We do not claim perfect security or comprehensive logging of every event.
AI-provider processing
When you use AI-assisted features, relevant excerpts of content may be sent to AI providers to generate drafts, extractions, or suggestions. Those providers process data to return results for your review. Office privacy settings may further limit training-related uses where supported by the application. AI outputs can be inaccurate and must be verified by the appraiser.
Third-party service providers
We use service providers for hosting, authentication, databases, email, optional SMS delivery, mapping, payments, and AI processing. Providers process data only as needed to deliver their services to Appraisal Orbit.
Data retention[Attorney review required]
We retain account, workfile, billing, legal-acceptance, and SMS-consent records for as long as needed to provide the service, meet legal obligations, resolve disputes, and enforce agreements. Exact retention periods may vary by record type and subscription status. Appraisal Orbit is not your exclusive backup or record-retention system. Retention and deletion practices are subject to attorney review.
User rights and requests[Attorney review required]
You may email stan@stanshelton.net to request information about data associated with your account or public-form submissions, or to request correction or deletion where applicable and feasible. We may need to retain certain records for legal, security, billing, or audit reasons. Available rights depend on applicable law.
Security limitations
We use reasonable administrative and technical safeguards appropriate to the nature of the information. No method of transmission or storage is completely secure, and we do not guarantee that unauthorized access, disclosure, or loss will never occur.
Cookies and authentication
Authentication and session management use cookies and similar technologies provided by our auth platform and application. A signed legal-acceptance cookie may be used to enforce required agreement versions after you accept. Essential cookies are required for signed-in use of the application.
SMS consent records
Mobile numbers, SMS consent records, and opt-in information are used only for appraisal-related communications. Mobile information and SMS consent will not be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. Message frequency varies. Message and data rates may apply. Recipients may reply STOP to opt out or HELP for assistance.
SMS enrollment is optional. Providing a phone number for ordinary contact (including when a bank or lender supplies a contact number) is not the same as consenting to text messages. Stan Shelton WTA / Appraisal Orbit sends text messages only when you affirmatively opt in on our optional SMS Consent page or through an optional unchecked checkbox on a bid, order, quote, or contact form. Consent is not required to receive appraisal services. You may decline SMS and still request a bid, place an order, create an account, accept Terms/Privacy, and be contacted by email or ordinary telephone.
When you opt in, Stan Shelton WTA may send text messages regarding a specific appraisal assignment, including scheduling, document requests, inspection updates, and status notifications. We store SMS consent records (including consent text version/snapshot and related metadata) for compliance and opt-out handling. Service providers that help us deliver messages (such as messaging platforms) may process numbers solely to transmit the messages you consented to receive.
Legal acceptance records
When you accept Terms, Privacy, and professional acknowledgments, we store a versioned acceptance record including user identity, email at acceptance, versions accepted, timestamp, acceptance source, and limited request metadata (such as hashed IP and user agent). Historical acceptances are preserved when versions change.
Website form submissions
Access requests and contact messages are stored for follow-up and are not published publicly. Submitting a public form does not automatically create an office account, login, subscription, or billing profile.
